Who is responsible
Afternoon Adventure Learning Center determines why and how information for its programs, families, students, staff, and public website is used. Authorized website and infrastructure providers process information only to operate, secure, maintain, and support those services.

Information we use
- Public website: page requested, security signals, approximate technical request information, and optional first-party analytics identifiers when allowed.
- Accounts: Google account identity, display name, email, profile photo, phone, mailing address, optional birthday, permissions, and saved preferences.
- Enrollment and family activity: student and guardian details, application answers, family form and survey responses, accepted policies, documents, messages, review history, linked attendance activity, mobile number, text-message consent, and message-delivery status where SMS is used.
- Electronic signatures: typed signature, signer intent, server-recorded date and time, IP address, browser and language details, sign-in verification state, App Check state, and document fingerprints used to preserve an audit trail.
- Attendance: arrival and departure times, arrival method, authorized representative or staff signature, room or group, notes, and related audit history.
- Staff operations: access roles, room assignments, time-clock records, profile information, pay-rate history where used, and administrative audit information.
- Staff assistant: an authorized staff request and the minimum display-name or operational record details needed to prepare a permission-scoped action, plus its confirmation and audit history.
- Payroll and direct deposit: withholding elections, pay calculations, finalized statements, employee-authorized routing and account details, masked account indicators, and ACH-file audit records. Full bank details are encrypted and restricted to the protected payroll service.
- Public submissions and media: questions, contact details, uploaded files, photographs, PDFs, and content supplied for publication or review.
Why information is used
Information is used only for defined purposes, including:
- responding to questions and enrollment requests;
- providing family, attendance, staff, and account services, including consented family-form texts and opted-in operational staff alerts;
- meeting childcare, employment, financial, safety, and recordkeeping obligations;
- protecting the website against fraud, abuse, unauthorized access, and service disruption;
- maintaining and improving the public website; and
- estimating public website use only when analytics permission has been granted.
Depending on the activity and applicable law, processing may be necessary to provide a requested service, perform an agreement, meet a legal obligation, protect legitimate operational or security interests, protect an individual's vital interests, or act on consent. Optional analytics uses consent and may be withdrawn at any time.
Required fields are identified in the relevant form. If information needed for enrollment, safety, attendance, account access, or another requested service is not provided, the center may be unable to complete that request. Fields identified as optional may be left blank.
Capacity rules may initially place an application on a waiting list. Authorized staff can review and change that status; the website does not use solely automated profiling to make other decisions that produce legal or similarly significant effects.
Cookies and browser storage
Firebase Authentication, Firebase App Check, Google reCAPTCHA Enterprise, secure form protection, account-session persistence, site-update status, and functional preferences may use cookies, local storage, session storage, or IndexedDB.
Used only when needed for security, a requested account or form workflow, or saved functionality.If allowed, this browser receives random first-party visitor and session identifiers used to estimate public page views. The center does not use advertising cookies or create advertising profiles through this feature.

Information is kept only as long as needed for the purpose described, an active account or program relationship, center operations, safety, dispute resolution, backups, or legal and licensing recordkeeping. Different attendance, enrollment, employment, tax, and childcare records can have different required retention periods.
Optional browser analytics identifiers remain on the device until they expire, are cleared by the browser, or analytics permission is withdrawn. Withdrawing permission removes the site's analytics identifiers from that browser and stops future analytics collection from it.
Your choices and rights
Depending on applicable law and the reason information is held, you may ask to:
- access or receive a copy of your information;
- correct inaccurate or incomplete information;
- delete information that no longer needs to be kept;
- restrict or object to certain processing;
- receive portable information where applicable; or
- withdraw consent without affecting earlier lawful processing.
Signed-in users can update profile details, request an export, and request account deletion from Account Settings. Anyone may submit a “Privacy or data request” through the contact form or email [email protected]. Identity may need to be verified before private information is released or changed.
Text-message consent is optional. Reply STOP to an Afternoon Adventure text to opt out of later messages through that Telnyx messaging profile, or ask the center to update the saved consent preference.
You may also contact or lodge a complaint with the privacy or data-protection regulator that has authority where you live or where the relevant processing occurs.
Children's information
Student information is handled for enrollment, care, attendance, safety, family communication, and required center records. Enrollment and account workflows are intended for parents, guardians, authorized representatives, and staff rather than independent use by young children.
Access is limited by role and relationship. Parents and guardians should contact the center if student information needs to be reviewed, corrected, or removed, subject to records the center must retain.
Security and notice changes
The website uses encrypted connections, role-based access, Firebase security rules, App Check, protected server functions, and access controls. No system can eliminate every risk, so suspected privacy or security concerns should be reported promptly.
This notice may change when services, providers, laws, or data practices change. The effective date will be updated, and a new privacy choice will be requested when a change materially affects consented analytics.
